Caterers usually quote food per person, then add a service charge and sales tax on top. Ask yours whether tax applies to the service charge in your state; this tool assumes it does. The server ratios are planning ratios for a seated or buffet meal, not a legal requirement.

Why styles differ

Plates, platters or a line.

Plated service carries every course to every seat at once, so it needs the most hands. Many caterers aim for one server per one or two tables of eight to ten.

Family style puts shared platters on each table, so servers carry less often but the platters are heavy and need refilling.

Buffet service needs the fewest servers, mostly to replenish food, clear plates and pour wine, but guests do more of the work and lines form.

Count separately: bartenders (see how many bartenders), a captain or supervisor, kitchen staff, and anyone passing appetizers during cocktail hour.

Questions people ask.

Is a service charge the same as a tip?

Not always. Some caterers pass the service charge to staff and others keep it for overhead. Ask in writing, and decide on gratuity separately.

What sales tax rate should I use?

Use your caterer's quote. Combined state and local rates differ by city.

How many servers do I need?

Plated dinners need the most staff. This tool plans one server per 12 guests for plated, 20 for family style and 25 for a buffet.

How many servers for 100 guests?

About 4 for a buffet, 5 for family style and 9 for a plated dinner.

How many servers for a plated dinner?

Plan one per 12 guests, rounded up: 10 for 120 guests.

Are servers included in the catering price?

Often partly. Many quotes list a per-server labor charge or roll it into the service charge. Ask for staff count and hours in writing.
